How to Perform a Bulk Upload

Overview

The Bulk Upload feature allows you to add, edit, or delete multiple Vehicles, Drivers, Users, Groups, or Equipment (only add) at once using a CSV or Excel file. This article walks you through the general steps to perform a bulk upload, regardless of your chosen module or action.


Before You Start

To avoid upload errors and ensure your data is accepted by the system, we strongly recommend reviewing the field validation rules for the module and action you plan to perform.

Step-by-Step: Performing a Bulk Upload

1. Go to the Bulk Upload Tab

Navigate to the Admin module and click on the Bulk Upload tab. This is your central dashboard for all bulk upload operations. You'll see a summary table that shows the status of each upload:

  • Uploading
  • Completed
  • Error

2. Click the β€œImport” Button

At the top-right corner, click the Import button to begin the upload process.


3. Choose the Module

From the Module dropdown, select what type of data you want to upload:

  • Vehicles
  • Drivers
  • Users
  • Groups
  • Equipment


4. Select the Mapping

Choose a Mapping option that matches your file’s column structure. Mapping ensures your uploaded data aligns with system fields correctly.

5. Select the Action

Choose the type of operation you want to perform:

  • Add – Upload new records
  • Edit – Modify existing records
  • Delete – Remove records from the system

The available actions (Add, Edit, Delete) depend on your user role.

  • Super Admins can see all actions.
  • Other users will only see actions they have permission for.

6. Upload Your File and Click on Next

Upload your completed CSV or Excel file by clicking on the Import button.

You can download the same file if needed.

Click Next.


7. Edit Page – Review and Edit Uploaded Data

After uploading your file:

  • Set the Header Row (leave it as 0 if using our sample template)
  • You can edit the data directly in the table if needed
  • Once done, click Next


8. Map Page – Map File Columns to System Fields

  • Use the dropdowns to map each column in your file to the correct field in the system
  • Ensure all required fields are mapped properly
  • Click Next to continue

πŸ’‘ Tip: Use Saved Mappings to Save Time

On the Map page, click the Select Mapping button in the top-right to open Mapping Settings. This lets you save your current field mappings and reuse them for future uploads with the same file structure.

How it works:

  • Click β€œAdd New”, name your mapping (e.g., Vehicle Import), and click Save.
  • Next time, just select the saved mapping to apply field matches instantly.
  • You can also choose from existing mappings shown in the list.


9. Verify Page – Final Check Before Upload

  • Review all data one last time
  • Any missing or invalid fields will be highlighted in red
  • You can edit fields directly on this page and use dropdowns where available to select valid options.
  • Make sure to resolve all red highlights before importing.
  • Once everything looks good, click Import to finish


Step 10: Monitor Upload Status

After clicking Import, your upload will first appear under the Uploading tab. The status will then update based on the result:

  • Uploading – The file has been submitted and is currently being processed.
  • Completed – The operation was 100% successful. All rows in the file were imported without any errors.
  • Error – One or more records in the file failed validation or upload. This does not mean the entire file failed.
    • You can download the error file to view which records failed and why.
    • Correct the issues and re-upload only the failed rows if needed.
