Comdata Fuel Card Integration

Overview

Comdata is a leading payment processor offering fleet fuel cards, corporate spend cards, and more. The Comdata–Azuga integration automates the import of fuel transactions into Azuga’s telematics platform, enabling fleet managers to monitor fuel volume, cost, timestamps, and vehicle locations in one centralized system. This integration also supports discrepancy reporting to help identify potentially fraudulent transactions.

Integration Summary and Key Benefits

Automatic Transaction Ingestion

  • Fuel purchase data is transferred from Comdata to Azuga on a scheduled basis, reducing manual data entry.

Location-Based Discrepancy Reporting

  • Azuga captures the vehicle’s GPS location at the time of fueling and flags transactions that seem out of range or otherwise suspect.

Consolidated Fuel Expense Management

  • Access transaction data, vehicle telematics, and usage insights in a single Azuga interface for streamlined reporting and analysis.

Fraud Detection

  • Compare vehicle location to fueling location and detect irregular activity (e.g., excessive volume) that may signal misuse.

Reduced Administrative Overhead

  • Automating the flow of data cuts down on manual reconciliation tasks, enabling faster month-end closeouts.

Integration Setup Process

The following steps outline how to establish and maintain the integration between Comdata and Azuga.

Integration Setup Steps

1. Request Integration

  • Contact Azuga Support or your Azuga Customer Success Manager to initiate the integration request.
  • Azuga L1 Support will provide details and the required data transfer form link.

2. Complete and Submit Data Transfer Form

  • Fill out the form via the provided DocuSign link: https://rebrand.ly/FLTDWGEN.
  • Include your Comdata Account Code (found on Comdata invoices or as the prefix in transaction filenames).
  • Send the completed form to batstelematics@comdata.com and CC your Azuga point of contact (integration@azuga.com).

3. Confirmation from Comdata

  • Comdata will validate the form and confirm once the transaction files are uploaded to their secure location.
  • Processing may take a few business days.

4. Azuga L2 Configuration and Testing

  • Upon receiving Comdata’s confirmation, Azuga’s L2 team will configure the integration to automatically retrieve Comdata fuel transaction files based on the provided account code.
  • A test import will be conducted to ensure data mapping aligns with vehicle records in Azuga.

5. Integration Go-Live

  • Once testing is successful, the Azuga L2 team notifies you and the Support team that the integration is live.
  • Fuel transactions will begin appearing in Azuga for analysis, reporting, and discrepancy detection.

6. Ongoing Monitoring

  • If issues arise (e.g., missing transactions), coordinate with Azuga Support for troubleshooting.
  • Comdata or Azuga may periodically request updated authorization forms, especially if account changes or new features are added.

Technical Details

Data Processing and Storage

  • Comdata posts transaction files to a secure location, which Azuga retrieves daily or on a scheduled basis once permission is granted.
  • Comdata uses an Account Code or Account ID within transaction filenames, which Azuga relies on to map transactions to the correct fleet.

Vehicle Identification and Mapping

  • VIN or other unique vehicle identifiers in Azuga should match Comdata records where possible to ensure correct transaction mapping.

Data Captured

  • Fuel volume, cost, timestamp, and merchant details, combined with Azuga’s location data, enable advanced discrepancy checks.

Fraud Prevention

  • Azuga cross-references fueling location and time with vehicle GPS data to flag potential fraud or improper usage (e.g., fueling while the vehicle is far away).
